Gathering documentary evidence

As part of your assessment to become a licensed conveyancer, you need to submit evidence of your competency. This will help your assessor gain a holistic picture of your skills and knowledge.

What you will be assessed against

For each area of competence, you are assessed against an education standards document (known as a unit of competency) which considers:

  • the specification of knowledge and skill
  • the application of that knowledge and skill, and
  • the standard of performance required in the workplace.

Quality of evidence

All evidence you submit must meet be:

  • current – ideally should be from within the past 5 years
  • authentic – your own work or relating to files/projects/contracts you have worked on
  • valid – must relate directly to a unit of competency being assessed
  • sufficient – collective evidence must cover all aspects of the unit of competency

Required documents

Online application form Should be completed online, as well as printed and signed to be submitted with your other required documents.
Identification
  • one recent passport-sized photo, certified and dated
  • certified copy of a drivers licence or relevant passport pages (showing your name, photo and date of birth)
Portfolio evidence Samples of your work should consist of two complete conveyancing files, one for a vendor and one for a purchaser. There is a separate checklist if you are being assessed in the trust accounting unit. Download and submit the following file(s) with your application.

  • Portfolio documentation does not require each page to be certified.

    The Portfolio Checklists now include a candidate declaration and a Statutory Declaration is no longer required.

    Do not worry if your conveyancer files do not include every single document in the checklist. Alternatively, if you wish to include any additional work samples, just add them to the bottom of your checklist and include it with your submission.

Conveyancing work experience
  • your resume or Curriculum Vitae (CV)
  • if applicable, a certified copy of your Business Registration together with a Statutory Declaration if you have been operating your own business. The Statutory Declaration should state that you have been operating your own business, and include some basic details to assist the assessor in gaining an understanding of your experience, such as the period of operation, number of employees, ABN, office address etc.
Education / Professional Development / Memberships (not mandatory) You can include short courses, qualifications, professional development, seminars and training that has any component relating to conveyancing, as well as professional memberships, affiliations, accreditations etc. Certify formal documents such as qualifications awards and transcripts. These documents may support your application.
References (preferred but not mandatory) Written references that could support your application.
Additional evidence or documentation Include other evidence if you believe it will support your application.

Please note:

  • All documentation will be kept private and no aspect of your documentation (or outcomes) will be released to Consumer Affairs Victoria, Business Licensing Authority or any other organisation
  • Documents requiring certification must be copies of the original documents.
  • Signatures used for certifying documentation should be original and written by a person authorised to certify documents (preferably not yourself).
  • Copies of documents will not be returned. Do not send original documents. Keep a copy of all documents submitted. As documents require certification, photocopied or faxed applications will not be accepted.
  • Incomplete applications will not be processed until all required documentation has been received. You will be contacted if additional documentation is required.
  • Referees, employers and nominated third parties may be contacted for assessment or validation purposes. Please advise us if you have any concerns about this.
  • Forged, altered or falsified documents or portfolio evidence submitted to VETASSESS will be reported to Consumer Affairs Victoria and/or the Business Licensing Authority, and no assessment or refund will be provided.
